  • Maintain confidentiality and professionalism while handling employee data in compliance with legal and data protection regulations.
  • Acquire compliance with laws and regulations when submitting employee professional applications.
  • Collaborate with staff to gather the necessary information for letters.
  • Maintain accurate records and documentation of employee referrals.
  • Maintain a well-organized file system or electronic database for easy searching and access.
  • Update employee records or HRIS-generated charts with relevant information.
  • Construct and edit application letters to ensure their accuracy, clarity of message, and professionalism.
  • Verify information provided by letters, such as names, dates and specific details.
  • Obtain necessary endorsements, signatures or notations before letters are drafted and issued.
  • Continues to evaluate and streamline the application letter preparation process to make it more efficient.
  • Identify automation, standardization or improvement opportunities to optimize letter creation processes and reduce delivery time.
  • Provide staff guidance and support regarding the application process, requirements and deadlines.
  • Handle employee questions, concerns or complaints about letter preparation promptly and professionally.
